# Payslips

A payslip gets its number and its PDF when its pay run is [finalized](/docs/payroll/pay-runs#finalize). On a finalized run, each payslip shows its number next to the employee's name and an **Open PDF** button.

## The payslip PDF

The PDF is in your business's **Document language** (English, Dutch or Turkish; see [Business profile](/docs/workspace/settings#business-profile)) and prints what was true at finalize. Changing an employee or your business profile later does not change a finalized payslip.

| Part | What it shows |
| --- | --- |
| Header | **Payslip** and its number; on a correction, "Replaces" with the number of the payslip it replaces |
| Employer | Your legal name (or trade name), address, Chamber of Commerce number and **Payroll tax number** |
| Employee | Initials, last name and address, period with its dates, employee number, date of birth, BSN and IBAN masked to their last four characters, start and end date, contract, pay basis, salary per period or hourly rate, contract hours per week and the hours in the period |
| Lines | The lines per section (**Gross pay**, **Deductions**, **Reservations**, **Employer costs**) with description, quantity, rate and amount |
| Totals | Gross pay, deductions and net pay |
| Year to date | Gross pay, wage tax, net pay, hours, holiday pay reserved and holiday pay paid, from the start of the year up to and including this payslip |
| Footer | Whether the payroll tax credit is applied, and the statutory minimum wage per hour for the employee's age at the end of the period (left out when Borkol does not have the rate for that date yet) |

The year to date adds the employee's [opening balance](/docs/payroll/employees#opening-balances) for that year, every earlier finalized payslip of that year and this payslip. A payslip replaced by a correction no longer counts.

## Numbering

Payslips are numbered when the run is finalized, in employee number order and without gaps. Unless you choose a series under [Numbering](/docs/payroll/settings#numbering), Borkol creates a payslip series the first time you finalize, with numbers like `LS2026-0001` that start again at 0001 every year. The year in the number is the year the period ends in.

## Send payslips by email

On a finalized run, click **Send by email**. **Send payslips by email** lists every current payslip (one replaced by a correction is left out), each with a checkbox and an **Email address** taken from the employee:

- Payslips with an address are checked; one without an address is unchecked ("No email address. Enter one to include this payslip."). Type an address to include it.
- A payslip without a PDF is unchecked and cannot be checked ("No PDF yet. Render the missing PDFs first.").
- You can change any address before sending; the change is only for this mail, not for the employee.
- A payslip that was sent before shows **Sent** with the date and time.
- **Select all** checks every row with an address and a PDF.

Click **Send** (**Send 3 payslips**): each payslip goes to its address as a PDF attachment, and Borkol confirms how many were queued. Every payslip needs its PDF before it can be sent; see [Finalize](/docs/payroll/pay-runs#finalize) for **Render missing PDFs**.

The mail comes from the account chosen under [Delivery](/docs/payroll/settings#delivery), with your subject and message, or with the default text in the document language ("Payslip 2026-10" and a short message).

## Downloads

On every run, **More actions** has two CSV files:

| Download | One row per | Columns |
| --- | --- | --- |
| Download CSV (lines) | Line of every payslip | `employee_number`, `employee`, `period`, `payslip_number`, `section`, `code`, `label`, `quantity`, `rate`, `amount` |
| Download CSV (summary) | Payslip | `employee_number`, `employee`, `period`, `payslip_number`, `hours`, `gross`, `deductions`, `net`, `employer_cost` |

Amounts have two decimals and a dot (`2500.00`). `section` and `code` hold the internal names (for example `earnings` and `base_salary`). A draft run's CSV files have an empty `payslip_number`.

On a finalized run, **Download PDFs** downloads one zip file with the PDF of every payslip. If a PDF is missing you get "Some payslips have no PDF yet. Render the missing PDFs first."

Payslips replaced by a correction are left out of the downloads of their run.

## For your accountant

Borkol does not file the loonaangifte; give the CSV and PDFs to your accountant. For each period, download **Download CSV (lines)** or **Download CSV (summary)** and **Download PDFs** from the finalized run, and send them along with any correction runs of that period.
