Invoice statuses

StatusMeaning
DraftYou are still writing it. No number, nothing sent.
SentThe customer has it
PaidNothing is left open
OverdueSent, past its due date, and still has an open amount
CancelledYou cancelled it

Only Draft invoices can be edited; everything else is frozen and shows a banner explaining why — correct a sent invoice with a credit note instead. Overdue is not something you set: a daily sweep flips a Sent invoice to Overdue once its due date passes with an open amount still on it, and flips it back if a payment brings it current.

Writing an invoice

Customer and details

Pick a Contact the same way as on a quote, or type an Email and Name for a one-off. Document type picks the number series. Under Details you set the Issue date, Service date and Due date, an Introduction printed above the lines, and a Footer note printed underneath.

Lines

Invoice lines use the same table as quotes; see Quotes → Lines for the field-by-field description. Picking a product under From the catalog copies its title, unit, price and VAT class onto the line; unlike a quote line, an invoice line keeps no link to the product.

Sending an invoice

Send allocates the invoice's number and locks the PDF; nothing about a sent invoice can be edited afterwards, including its lines, dates or notes. Resend email sends the stored PDF again without changing anything. Open PDF opens the document that was actually sent.

Amounts

Every invoice shows four figures: Total (what it was issued for), Paid (payments recorded against it), Credited (amounts taken off by credit notes), and Open (what is still outstanding).

Credit notes

Create credit note is available on a Sent, Overdue or Paid invoice. It opens a draft credit note pre-filled with the negated lines and amounts, and its own number from the credit-note series when you send it. Creating a credit note does not change the original invoice's status — it stays Sent, Overdue or Paid — but the original gains a Partly credited banner naming the amount taken off, and the credit note itself shows a Credit note banner linking back to View original invoice.

A credit note cannot go negative: an invoice total can never be negative either, so a correction beyond the invoice's remaining amount is refused rather than silently clamped. A credit note also never takes payments — it is not payable, only the invoice it corrects is.

Deleting

Delete only exists while the invoice (or credit note) is a Draft; anything sent is permanent.
