Workspace
Workspace settings
Edit your account details, set up numbering and taxes, change your password, and review the workspace activity log.
View as MarkdownEverything about your workspace lives under Settings: workspace details, API access, and activity. The page has eight tabs down the left side: General, Business, Numbering, Taxes, Team, API Keys, Webhooks, and Activity. Each tab has its own address, so you can bookmark or share a link straight to it.
Settings needs an active business. If you have not picked one yet, the page shows Select a business first instead of the tabs; choose a business from the switcher in the header and come back.
General
The General tab shows the selected business, your own account details, and a password form.
Business
The business card is read-only. It shows the active business's Name, Slug, and Tenant ID. You cannot edit these here; a value that is not set shows as a dash.
Update your account details
- Open Settings and stay on the General tab.
- Edit the fields in the account card.
- Click Save changes. A Saved. confirmation appears next to the button when it goes through.
| Field | Description |
|---|---|
| Name | Your display name. Required. |
| Read-only. The field is disabled; contact support to change your email address. | |
| Phone | Optional. Cleared if you empty it. |
| Company name | Optional. Cleared if you empty it. |
| Company type | Optional free text. Cleared if you empty it. |
If something is invalid, the error appears directly under the field it belongs to.
Change your password
Changing your password signs you out of all other sessions. The device you change it on stays signed in; every other browser or device has to log in again.
- On the General tab, scroll to the change password card.
- Fill in Current password, New password, and Confirm new password.
- Click Change password. On success you see Password updated. and the fields clear.
If the new password and its confirmation differ, you get Passwords do not match. before anything is submitted.
Business profile
The Business tab holds the legal identity that goes on quotes, invoices and outgoing emails: legal name, address, tax ids, banking, signature and document defaults. Only the account owner can save changes here; other members can view the tab but a save attempt fails.
At the top, three status pills show what is still missing:
| Pill | Complete when |
|---|---|
| Legal identity | Legal name, street, postal code, city, country and registration number are all filled in. |
| Signing | Signer name and a signature image are both set. |
| Sender | Sender email or email is filled in. |
The form is grouped into cards:
| Card | Fields |
|---|---|
| Legal identity | Legal name, Trade name |
| Address | Street, Number, Postal code, City, Country (2-letter code, e.g. NL) |
| Tax ids | Registration number (KvK), VAT id |
| Banking | IBAN |
| Signing | Signer name, Signature |
| Sender | Sender name, Sender email, Email, Phone, Website |
| Document defaults | Quote validity (days), Payment term (days), Document language, Currency, Terms and conditions, Invoice footer note |
Clearing a text field and saving clears the stored value. VAT id, country and currency are uppercased automatically; the IBAN is validated and normalized on save.
Upload a signature
- Open Settings, go to the Business tab, scroll to Signing.
- Click Upload signature and pick an image (PNG, JPEG, WebP or AVIF).
- The image uploads as private media and is attached to the profile immediately — there is no separate save step for the signature.
The signature preview uses a short-lived signed URL; it is not a public link. Click Remove to detach the signature (the underlying file is not deleted).
Save the rest of the profile
- Edit any fields in the other cards.
- Click Save changes. A Business profile saved. confirmation appears next to the button.
Field-level validation errors appear under the field they belong to; a form-level error appears above the button, for example when you are not the account owner.
Numbering
The Numbering tab defines how quote, invoice, credit note and order numbers are built. It has two cards: Document types and Number series.
Document types
A document type is a short label with a prefix that number series can borrow. For example a type named Bouw with prefix B lets an invoice series render B2026-0811.
- Open Settings, go to the Numbering tab.
- Fill in Name and Prefix, then click Add.
- Use Edit on a row to change it, or Delete to remove it.
| Field | Description |
|---|---|
| Name | Free text, up to 100 characters. |
| Prefix | 1 to 3 characters, uppercase letters and digits only (A-Z, 0-9). Unique within your workspace. |
A type that a number series points at cannot be deleted: you get This document type is used by a number series and cannot be deleted. Point the series at another type first. Its prefix is frozen for the same reason: while a series uses the type you get This document type is used by a number series; its prefix can no longer change. Name and sort order stay editable.
Number series
A series turns a running counter into the number a document actually carries. Click New series to add one, or Edit on a row.
| Field | Description |
|---|---|
| Applies to | Quotes, Invoices, Credit notes or Orders. |
| Document type | A document type, or Any type for a series that is not tied to one. |
| Prefix | Optional, 1 to 8 characters (A-Z, 0-9, -). Overrides the document type's prefix. |
| Format | The number template. Must contain {SEQ}. Other tokens: {PREFIX}, {YYYY}, {YY}, {MM}. |
| Sequence digits | 1 to 8. How wide {SEQ} is zero-padded. |
| Reset | Never, Yearly or Monthly. When the counter starts over. |
| Display | Plain, or Monthly offset (hides volume) so the numbers do not reveal how many documents you issue. Monthly offset requires a monthly reset. |
| Default | The series used when nothing more specific matches. One default per Applies to + Document type pair; marking a new one demotes the old one. |
The format has to carry the token its reset cycles on, or the same number would come back next period: a monthly reset needs {MM} plus a year token ({YYYY} or {YY}), and a yearly reset needs a year token.
The table lists every series with its Next number — what the next document would get, without consuming it. While editing a saved series you can also pick a date under Preview to see the number that date would produce.
Series that already issued numbers
Once a series has handed out a number it is locked: the row shows an In use badge, and in the form every field except Default is greyed out with Numbers were already issued; only the default flag can change. Its Delete button is disabled (hovering shows This series already issued numbers and cannot be deleted.). Create a new series instead and mark it default.
Taxes
The Taxes tab holds the VAT rates for the business. Tax classes are core: every business has them, whether or not the Webshop module is enabled. A new business starts with three Dutch defaults — Standaard 21% (the default class), Verlaagd 9% and Nultarief 0% — which you can rename, re-rate, or delete.
Prices include VAT
The Prices include VAT toggle controls whether catalog prices are treated as VAT-inclusive at checkout. It saves the moment you flip it; there is no Save button. The card only appears when the Webshop module is enabled for the business, because the setting belongs to checkout.
Tax classes
Tax classes define the VAT rates you can assign to products and quote lines.
- In the tax class card, enter a Name and a Rate % (0–100; a comma works as decimal separator).
- Click Add.
To change a class, click Edit in its row; the card switches to edit mode with Save and Cancel buttons.
The default tax class is different: its row shows a default badge instead of an Edit button, has no selection checkbox, and cannot be edited or deleted from this screen.
To delete non-default classes, select them with the checkboxes and use the bulk Delete action (asks for confirmation).
Activity
The Activity tab is a read-only audit log: a record of changes in this workspace, including actions taken by Borkol support on your behalf.
Each row shows:
| Column | Description |
|---|---|
| When | Date and time of the action. |
| Action | What happened, in plain words. |
| Target | The record the action touched (for example a model name and its number), or a dash. Hidden on small screens. |
Rows performed by Borkol staff on your behalf carry a Borkol support badge; hovering it shows "Performed by a Borkol admin on your behalf".
Filter and page through the log
- Action filter: type part of an action name (for example
module) to narrow the list. The filter applies as you type. - From and To date filters limit the log to a date range.
- Changing any filter takes you back to page 1.
- Use Previous and Next to page through results. The footer shows the total count and which page you are on.
An empty log shows No activity yet.
