Email accounts
Send quotes and invoices from your own mailbox by adding an SMTP account, testing it, and choosing which account sends which kind of mail.
View as MarkdownThe Email section of Settings (/settings/email) lets you send your business's mail from your own address. You add the SMTP account your business already uses (Google Workspace, Microsoft 365, Zoho, your hosting provider and so on); quotes, invoices and form notifications then go out from it instead of the platform address. Accounts belong to the currently selected business, so switch to the right business first.
What the platform sends without an account
Until you add an account, No email accounts yet. is shown and mail goes out through Borkol's own mailer. The sender name and email address are then taken from your business profile (see Workspace settings). Adding an account replaces that sender with the account's From name and From email.
Add an account
- Open Settings and pick Email.
- Click Add account.
- In Add email account, choose your mail provider. Borkol fills in the server settings for you. If yours is not listed, choose Other SMTP server.
- Check the server settings and enter the credentials for the mailbox, then click Save account.
The first account you add becomes the default account.
Providers
There are 13 choices: Google Workspace / Gmail, Microsoft 365 / Outlook, Zoho Mail (host smtppro.zoho.eu), iCloud Mail, TransIP, STRATO (host smtp.strato.de), Mailgun (EU), Postmark, SendGrid, Amazon SES, Brevo, Resend, and Other SMTP server. A preset only prefills the form; you can change every value. The form shows a short tip for the provider you picked (for example, that Gmail needs an app password rather than your normal password) and a Setup guide link to the provider's own instructions. Use Change to go back and pick another provider.
For Amazon SES and Other SMTP server there is no fixed host, so you enter your own server (for SES the host of your region, such as email-smtp.eu-west-1.amazonaws.com).
Fields
| Field | Description |
|---|---|
| Account name | A label for the account. Only you see this name. Up to 100 characters. |
| SMTP host | The mail server. Must be a public host. |
| Port | One of 25, 465, 587 or 2525. |
| Encryption | STARTTLS, SSL/TLS or None. |
| Username | The login for the mailbox. Often the full email address. |
| Password | Write-only. When you edit an account the field shows Password set; leave it blank to keep the stored password. |
| From name | The sender name recipients see. Optional. |
| From email | The sender address recipients see. Required. Your provider usually requires it to be the mailbox itself, one of its aliases or an address on a verified domain. |
Only public SMTP servers are accepted. A host that resolves to a private or internal address, or a port outside 25, 465, 587 and 2525, is rejected when you save and again every time mail is sent.
Send a test email
Open the Account actions menu on an account card and choose Send test email. The test goes to the email address you are signed in with, and the toast says Test email sent to your login address. The card then shows a Verified badge and the date it passed (for example Verified 13 Oct 2026).
If the server refuses the message, the card shows an Error badge and the reason in red. The reason is cleaned before it is stored or shown: passwords, usernames, server addresses and email addresses are replaced by [redacted], so the message tells you what went wrong (for example a rejected login) without exposing credentials. Fix the settings and send the test again.
An account you have not tested shows Not tested. Editing the host, port, encryption, username or password clears the Verified status, so test again after changing them.
Other account actions
The Account actions menu also has:
- Edit: change any setting. Leave Password blank to keep the current one.
- Make default: shown on accounts that are not the default. The default account is marked Default.
- Delete: asks Delete email account? and cannot be undone. Mail that the account sent now falls back to your default account, or to Borkol's own mailer when the deleted account was the default. Deleting the default does not promote another account; choose Make default on the one you want.
Choose which account sends what
The Sending box lets you pick an account per kind of mail. Each row is a select with Default account or any of your accounts. Changing one brings up the save bar at the bottom of the screen: click Save to store it (Sending saved.) or Discard changes to go back (see Saving changes).
| Row | Mail it covers |
|---|---|
| Sales | Quotes, invoices, credit notes, quote accepted notifications and quote request received notifications. |
| Forms | Form notifications and confirmations to visitors. The form builder arrives in a later release; once forms exist, this row decides which account sends their mail. |
Everything else that goes to your storefront customers, such as order confirmations and password resets for webshop customer accounts, always uses the default account. Emails about Borkol accounts themselves, such as dashboard password resets and team invitations, do not use your email accounts: they always come from Borkol's own mailer. With Default account selected in a row, that kind of mail also uses the default account. With no accounts at all, everything goes through Borkol's own mailer, as described above.
